ZENIC Inc. (hereinafter referred to as "our company," "we," "our," or "us") recognizes that appropriate handling and protection of the personal information of our customers is a highly important social responsibility of corporate entities, and therefore has established, and shall comply with, the following Privacy Policy.
Basic Policy on Protecting Personal Information
1.System for protecting personal information
Our company shall ensure that our directors, officers, employees, and others are fully aware of the importance of protecting personal information, and establish and maintain a system for protecting personal information.
2.Compliance with laws and regulations
Our company shall comply with laws and regulations, government guidelines, and other standards regarding the protection of personal information, and develop internal regulations regarding the handling of personal information in an effort to protect it.
3.Acquisition and use of personal information and disclosure and provision to third parties
Our company shall, when acquiring personal information from a customer, make clear to them purpose of collecting the information, and shall only use the acquired personal information within the scope of the disclosed purpose of use. In addition, our company shall not disclose or provide customers’ personal information to third parties unless we have received the required prior consent or are otherwise permitted to do so by applicable laws and regulations.
4.Management of personal information
Our company shall implement the necessary and appropriate security management measures to prevent unauthorized access, leakage, loss, destruction, and falsification of personal information. Furthermore, in the event that we disclose or provide personal information to a contractor or third party, we shall thoroughly manage and supervise them and require them to comply with the Personal Information Protection Act.
5.Continuous reevaluation
Our company shall continually reexamine the way we handle personal information, and implement improvements so that personal information is managed effectively. Consequently, we may amend our Privacy Policy without prior notice.

Handling of Personal Information

2.Definition of personal information
Personal information acquired by our company is, as defined by the Act on the Protection of Personal Information, information that could be used to identify a specific individual, such as full name, date of birth, telephone number, e-mail address, home address, workplace, information on products and services purchased by the individual, information on inquiries placed by the individual, individual identification code, etc.
Provision of personal information to our company shall be based on the judgment of the customer. However, please be aware that, if the information is not provided, we may not be able to provide the appropriate service.
3.Purposes of use
Our company shall use the personal information we acquire to the extent necessary to achieve the following objectives in the context of our business activities (planning, developing, manufacturing, promoting, selling, providing, installing, maintaining, etc. (For more information, refer to our website for our business contents) of products, software, and services offered by us or our group companies (hereinafter collectively referred to as our “Products”)). Furthermore, should a situation arise wherein we are required to use the acquired personal information beyond the scope of the purpose of use, we shall obtain the consent of the customer in advance.
Personal information handled in general business
● Communications for implementing operations concerning the sale and provision of our Products (e.g. shipping and providing our Products; payments, invoicing, and other transactions; executing and implementing agreements) as well as for transactions, negotiations, and discussions
● Providing guidance, proposals, and other information regarding our Products by email, direct mail, telephone, and other means
● Providing information on seminars, exhibitions, presentations, promotions, surveys, and other events, and sending out prizes and the like
● Responding to inquiries, requests for consultation, and other requests
● Performing repairs and maintenance, providing support, and the like
● Planning, development, manufacturing, analysis, and quality improvement of our Products
● Properly and smoothly executing our company’s business management and risk management
● Performing work outsourced to us
● Ensuring that we meet customers’ needs properly and smoothly
● Keeping records, managing, and performing other incidental work for each of the aforementioned purposes of use
● Other purposes of use consented to by the customer when the personal information was acquired, or as expressly indicated
Personal information concerning job applicants
● Communications and notices regarding our recruiting activities, invitations to company information sessions and other events, sending materials, verifying identities, selection procedures, employment procedures, etc.
● Keeping records and managing recruiting activities
Personal information concerning retirees, employees, etc.
● Personnel and labor management, employee benefits, compliance with labor-related laws and regulations, and other administrative communications
● Procedures, information, and communications regarding payments to retirees
4.Provision of personal information to third parties
Except in the following cases, our company shall not disclose or provide personal information provided to us to any third party without obtaining the prior consent of the customer.

7. In cases involving business succession
However, we shall not disclose or provide customers’ personal information to a third party in a foreign country without obtaining the prior consent of the customer, even if (5), (6), or (7) apply. If we disclose or provide personal information to a third party located in a foreign country with the consent of the customer, we shall take necessary measures to protect the customer’s personal information in accordance with the requirements of applicable laws and regulations. 5.Outsourcing to third parties
Our company may outsource all or part of the handling of personal information to our customers, suppliers, contractors, and other business partners to the extent necessary to achieve the purposes of use. In such cases, we shall properly manage and supervise such business partners in accordance with laws, regulations, and our own rules.
6.Sharing of personal information
Our company may use customers’ personal information jointly with our group companies to the extent necessary to achieve the purposes of use.

7. Security management
We take the following organizational, personal, physical, and technical security management measures to prevent unauthorized access, leakage, loss, destruction, and falsification of personal information. In addition, we retain personal information only for the period necessary to achieve the purposes for which it is used.
Measures taken for security management
● To ensure the proper handling of personal information, we have established the Basic Policy on Protecting Personal Information.
● We have established and are applying regulations on the handling of personal information with regard to methods of handling and management of personal information.
● We have appointed a person responsible for protecting personal information and established a system for protecting personal information.
● We have established a system for reporting to the Personal Information Protection Commission of Japan, notifying customers, and the like when personal information-related incidents (e.g. leakage) occur.
● We provide regular education and training to employees and others on matters concerning the handling of personal information.
● We have exchanged a written pledge with all employees and others not to disclose information obtained in the course of their work (including personal information) not only during their employment with us, but also after they leave our company.
● We take measures to prevent unauthorized access to and removal of personal information by implementing physical measures, for example controlling access by employees and others to areas where personal information is handled.
● For some types of information, we take measures such as restricting access, acquiring access histories, and encrypting data, and have introduced a framework for protecting information systems from unauthorized access by outsiders.
● When storing personal information in foreign countries, we implement security management measures after developing a full understanding of those countries’ systems for protecting personal information.

Should you have any requests for notification of purpose of use, disclosure, amendment, or cessation of use with regard to your own personal information, or concerns regarding the handling of personal information, please contact the Consultation Desk as indicated below.
